Paige Novick, a luxury jewelry and accessories brand based in NYC, is looking for an Operations and Office Coordinator to join our team!
We are looking for a motivated and passionate candidate who is hard working and able to commit at least 30 hours per week starting ASAP.
The ideal candidate would have vast Quickbooks, Excel and customer service experience. Any previous office experience and basic bookkeeping skills are a plus. Candidate must have great communication skills and be able to work well with others in a small office environment where one would be involved in many elements of the business. Ideal candidates will have a business background and experience in the jewelry industry.
Experience in Jewelry industry a plus.
Duties Include: • Communicating with individual clients, independent and chain retailers • Fulfilling merchandising requests, facilitating exchanges and returns, authorizing returns and related requests • Responding in a timely manner to product inquiries from retailers and individual clients • Creating invoices and billing customers using QuickBooks • Thoroughly reviewing all orders received to insure that the information is accurate and communicating any discrepancies in a timely manner with production team • Coordinating and shipping photography samples to retailers and press • Providing support to the sales team with timely and accurate order fulfillment status • Providing trade show and trunk show support • Communicating daily with accounting department regarding fulfillment status of orders and payment terms • Providing accounting department with copies of all invoices and packing slips • Creating and maintaining up-to-date time and action calendars • Keeping accurate receivable records for accounting • Creating Monthly Commission Statements for the Sales Department and showrooms • Coordinating regular meetings with production team in order to advise sales team on deliveries / deadlines • Managing the periodic counting of inventory • Providing external third-party warehouse with purchase orders in advance of order fulfillment • Coordinating shipments of product and necessary paperwork to warehouse in a timely manner • Managing the shipping of all drop ship orders • Managing the fulfillment process of all orders • General office organization: being proactive and reordering all office supplies, helping maintain office appearance daily
Salary: Based on experience Commitment: 30 hours per week (minimum/starting hours)
