LaFORCE is currently seeking an Accounting Administrative Assistant. This position will be responsible for the completion and execution of routine accounting functions on an ongoing basis, including but not limited to accounts payable, accounts receivable and expense report processing.

Position: LaFORCE is currently seeking an Accounting Administrative Assistant. This position will be responsible for the completion and execution of routine accounting functions on an ongoing basis, including but not limited to accounts payable, accounts receivable and expense report processing.

Responsibilities include, but are not limited to:

  • Assist and support Staff Accountant with all aspects of Accounting department as necessary
  • Act as the centralized control point for all vendor bills, expenses, and corporate credit card statements
  • Ensure that all vendor invoices and expenses are properly coded, approved, and entered into accounting software in a timely and accurate manner
  • Assist with A/R, A/P and bank reconciliation processing
  • Field billing and invoicing questions/inquiries from clients, vendors and agency team members
  • Maintain accounting files and documentation thoroughly and accurately
  • Ability to research and resolve general A/ P invoicing issues (i.e. past due notices, duplicate invoices) with minimal to no direction
  • Maintain files and organizational systems of company documents and correspondence
  • Ensure monthly invoices are generated in a timely manner, accurate, and sent to the correct parties
  • Assist with project support
  • Assist with collecting on receivables and communicating payables schedules
  • Sort, scan, copy and file receipts, invoices and bank statements
  • Handle any and all administrative duties for the team
  • On-board agency new hires by holding the new hire orientation

Skills/Qualifications:

  • Bachelors degree with 2-3 years of accounting experience, ideally in a client-service focused environment
  • Strong grasp of MS Excel and experience working with QuickBooks
  • Ability to suggest and implement best practices, improve processes and drive results
  • Excellent organizational and communication skills (both written and oral)
  • Highly detail-oriented
  • Ability to perform under time constraints and meet deadlines; strong sense of urgency
  • Flexibility and a team player
  • Ability to work with confidential information
  • Must be able to handle multiple tasks and adapt to change while maintaining high productivity and meeting deadlines
