SUCCARRA is seeking an Executive Assistant/Office Manager for our New York City office. This person will work directly with the Directors on a wide range of important design, travel, scheduling, office management, account management and client relations. This is a challenging and exciting position that requires exceptional organizational, communication, and problem solving skills. We are looking for an individual who is efficient and proactive with exceptional taste and an acute sense of discretion.

Essential Functions, Executive Assistant:

  • Perform complex high-level administrative duties
  • Entrusted with very confidential/sensitive information
  • Anticipate the Director's and client's needs and determine necessary actions/resources
  • Exercise independent judgment and employ advanced reasoning skills. A wide degree of creativity and latitude is expected
  • Communicate effectively, both verbally and written
  • Create daily Executive itinerary that includes contact numbers, meeting agendas and other correspondences
  • Manage and supervise in-office events and photo shoots. Includes coordinating with building, vendor, and client to see all pieces are in line
  • Perform various administrative duties such as updating directories, faxing, copying, sending/mailing packages or correspondences and track when necessary, proof-reading, filing, ordering supplies and managing all company calendars
  • Work on additional assignments as needed
  • Run all client relations, accounts recievable and payable.
  • Manage customer service account management with sales teams across the country.

Essential Functions, Office Manager-Receptionist

  • Answer phone and direct callers to the appropriate employee
  • Receive incoming daily deliveries
  • Greet incoming guests
  • Maintain showroom and conference room calendars
  • Perform weekly showroom and conference room maintenance, as well as before and after any external meetings
  • Purchase and arrange flowers for office and showroom, when necessary
  • Liaise with building management on office maintenance issues
  • Keep sample area clean, organized, and fully stocked
  • Maintain office printers
  • Monitor and reorder office supplies
  • Communicate occasional HQ announcements 

Qualifications :

  • Extremely resourceful and flexible with a can-do attitude that thrives in a fast-paced environment
  • Ability to work calmly under pressure and meet tight deadlines
  • Strong attention to detail and the ability to prioritize within a multi-tasking environment
  • Ability to take direction well, but also able to work proactively and provide self-direction
  • Advanced problem solving skills that demonstrate good judgment
  • High level of professionalism and integrity
  • Excellent written and verbal communication skills
  • Preferably a graduate of a Fashion Based college program
  • Knowledge of Quickbooks, Fashion GPS, JOOR, Excel programs preferred
