A leading New York-based communications firm seeks an Executive Assistant to support the firm’s Founding Partner, an accomplished professional with deep experience in global marketing and media. The firm specializes in public relations strategies for a diverse clientele spanning fashion, luxury, lifestyle, travel, interior design, spirits, media, and entertainment sectors. ROLE & RESPONSIBILITIES

  • Manage a high-volume of scheduling for a heavy calendar of appointments including coordination of company meetings, conference calls, and external engagements
  • Create and maintain detailed task lists and ensure adherence to daily agendas
  • Answer telephones and direct all incoming calls to appropriate party promptly and efficiently; Expect high call volume
  • Communicate and handle incoming and outgoing electronic exchanges on behalf of Founding Partner
  • Coordinate all travel arrangements; Manage reservations and create detailed trip itineraries
  • Generate expense reports and monitor applicable budgets
  • Prepare various documents and correspondence including reports, letters, memos, and presentation materials
  • Prioritize and direct multiple projects simultaneously; follow through on objectives with a sense of immediacy
  • Organize background materials and provide succinct overviews of relevant information; Prepare research briefings as requested
  • Assist with various personal matters in a highly discreet manner as needed
  • Check-in frequently outside of normal business hours to assist with unforeseen issues as they arise

QUALIFICATIONS

  • Bachelor’s Degree preferred
  • Experience in the Public Relations industry or assisting a high-level executive preferred
  • Ability to remain flexible, proactive, resourceful, and efficient while under pressure is crucial
  • Must possess exceptional interpersonal, verbal, and written communication skills
  • Professional demeanor and high level of discretion required
  • Proficiency in Microsoft Office programs including Word, Excel, PowerPoint, and Outlook
  • Possession of strong calendar management skills including the coordination of complex executive meetings
  • Must be exceedingly organized with a strong attention to detail
  • Must enjoy administrative challenges and exercise sound judgment
