Maniazamani is a fine jewelry brand based in Soho. We are looking for a part-time assistant to the CEO and Creative Director of our company.

Responsibilities include:

  • Read and reply to emails, inquiries, and requests daily by handling them properly and following up on them, often corresponding on behalf of the CEO
  • Organize, update and maintain the company’s files by storing them in the digital and paper archive
  • Organize office in ways that optimize procedures
  • Resolve office-related malfunctions and respond to requests or issues
  • Maintain office supplies
  • Maintain office schedule
  • Run errands for the company, including pickups and deliveries
  • Schedule and plan meetings and appointments; prepare materials for meetings as needed
  • Carry out specific projects and research
  • Prepare and send purchase orders, orders and estimates, and follow up on them
  • Prepare and send invoices to direct customers and stockists
  • Keep track of all main expenses and relating invoices
  • Double-check, prepare or remind about upcoming payments 
  • Support and provide all necessary information to the ​accountant (invoices, purchases, sales, expenses, ​and inventory)
  • Arrange international and domestic shipments
  • Update and maintain the company’s inventory
  • Follow up with jewelry manufactures on the development of new and old projects

Requirements:

  • Excellent organizational and time management skills, precise and able to multi-task
  • Excellent written and verbal communication skills with attention to detail
  • Ability to manage several projects at a time, delve into different topics and areas, work under the pressure of concrete deadlines
  • Working knowledge of office equipment and proficiency in MS Office, particularly Excel
  • Analytical abilities and aptitude in problem-solving
  • Experience as an office assistant, virtual assistant or in another relevant administrative role
  • Previous experience in fashion or design is a plus
  • Authorizations to work in the US
