Title: Account Assistant
Position Reports To: Account Executive / Senior Account Executive
Essential day-to-day duties:
Sample Inventory
- Check in new collection inventory at the start of every season utilizing Fashion GPS
- Manage inventory throughout each season, updating the master with acquired/gifted pieces and keeping track of samples coming in and going out
- Check inventory out at the end of every season and execute returns to clients
Coordinating and trafficking sample requests
- Duties including fulfilling sample requests, adhering to strict sample return deadlines, organizing shipping, and keeping track of shoot details/deadlines so samples arrive and are returned in time
- Log in sample requests, check in sample returns, and properly store editorial and sample information in Fashion GPS
- Keep a track record of outstanding samples per client, per season
Credit checks
- Request credit info from client when item is confirmed to be shot and keep the team copied so all are informed of upcoming press activity
- Cross reference given credit information with clients’ seasonal line sheets to be sure info is correct before submitting to outlet
- Enter upcoming placements in our monthly reports
Press
- Constantly monitor due press on a daily basis
- Set up Google alerts, search Meltwater as well as Google search with key terms
- Review new monthly print subscriptions
- Purchase relevant print issues that press has been secured in if we do not already have a subscription or the publication cannot send you a PDF - Request advanced print copies from editorial assistants as necessary
- Clip, scan and properly save any secured press in a timely manner
Seasonal Press Previews
- Build out media invite list
- Liaise with all departments to coordinate execution of preparation of agency press previews
- Manage scheduling, follow-up, and confirmation of all appointments
- Greet editors, journalists, stylists and walk them thru each collection and maintain notes with feedback and comments
Fashion Week / Client Events
- Assist seniors in all pre and post fashion week show and / or client event preparations
- Manage all client guest, sales, personals, and additions lists with Fashion GPS
- Manage RSVPs for events, fashion shows, or presentations with Fashion GPS
- Support front of house check-in
- Monitor, clip, and keep track of post show / event press
Reporting
- Compile monthly client reports outlining all account activity, sample / image requests, credit requests, secured coverage, and upcoming coverage and have it reviewed by senior team who will then finish the final draft
Internship Program
- Manage all fashion interns, educating and mentoring them on your role and responsibilities as well as delegating projects and support activity
- Organize intern welcome breakfasts and goodbyes
Qualifications:
- At least 1-2 years of experience in fashion public relations, marketing, or communications
- Bachelor’s degree
- Excellent writing skills
- Exceptional interpersonal skills
- Outstanding organizational skills
- Superior adaptability
- Positive attitude
- Proficient in MS Word, Excel, Outlook, Powerpoint and familiarity with Fashion GPS Contacts & Events is preferred
