Title: Office Assistant, LA
Position Reports To: Junior Account Executive, LA and Senior Account Executive, LA

Basic Function: To assist the LA team in office maintenance as well as the VIP team in coordinating and facilitating celebrity requests and initiatives for select clients.

Essential duties:

VIP Coordination

  • Facilitate celebrity requests and returns
       o Greet stylist and help them pull
       o Write-up sample requests and check-in sample returns
       o Maintain track record
  • Manage all inventory and shipping needs
  • Manage all returns and loans
  • Handle LA logistics for showroom
       o Update and maintain contact lists
  • Coordinate weekly celebrity gifting’s
  • Maintain and share the calendar of all press appearances, upcoming movies, festivals and red carpet events in weekly staff meetings

General Office Coordination (underlined can be delegated to interns with Assistant supervision)

  • Answer telephone
  • Manage LA interns
  • Coordinate all shipments and messengers
  • Oversee showroom appearance daily
  • Make sure meetings and appointments at LA Office are properly greeted and clean up afterwards
  • Order office supplies
  • Update master media list

Qualifications

  • At least 1 year of experience in fashion public relations (internships or full-time work experience)
  • Bachelor’s degree preferred
  • Excellent writing skills
  • Exceptional interpersonal skills and positive attitude
  • Ability to manage several clients and their needs
  • Proficient in MS Word, Excel and Outlook and familiarity with Fashion GPS is preferred
