Boutique real estate firm Robin Zendell & Associates seeks a talented individual to join their team as a Part-Time Office Administrator & Assistant. We represent leading brands across the realms of high fashion, beauty, e-commerce, and retail lifestyle and luxury goods, and provide services uniquely tailored to fit our individual clients' needs - from positioning elite retail flagships, to strategizing and negotiating brick & mortar rollouts, to reporting on market and industry trends. Overview:

The Part-Time Office Administrator & Assistant will provide administrative, executive, and real estate support. The Part-Time Office Administrator & Assistant will be responsible for office management, executive support, and real estate administrative support.

Responsibilities:

Office Management

  • Proactively ensure the smooth operation of the office, including purchasing supplies and maintaining equipment and cleanliness
  • Provide day-to-day administrative support: phones, mail, calendars and meetings, typing, and filing
  • Maintain relationships with external vendors and manage accounts, paying invoices as directed and managing petty cash
  • Maintain and manage all digital and paper office files and accounts
  • Handle all outgoing/incoming mail and packages (USPS, FedEx, UPS, DHL, courier)
  • Run errands
  • Technical support and troubleshooting, as needed

Executive Support

  • Coordinate domestic and international travel, including itineraries and visas
  • Maintain calendars and appointments, as requested
  • Complete select personal tasks on behalf of the Founder

Real Estate

  • Direct inbound inquiries regarding commercial property listings and maintain contact logs
  • Maintain up-to-date commercial property listings across all required channels
  • From time to time assist in the design, layout, and copy for presentation materials, maps, and flyers to be used for client property tours and projects
  • Create and update marketing flyers, including managing e-mail listservs
  • Assist in the preparation of reports, presentations, copy and other documents for meetings and clients, as needed

Qualifications:

  • Bachelor’s degree a plus, relevant prior work experience essential
  • Must be proficient in Microsoft Office (Word, PowerPoint, Excel) and Mac platforms
  • Demonstrated ability to effectively multi-task using exceptional judgment in a fast-paced environment while maintaining a flexible and positive attitude
  • Strong organizational skills, detail-oriented, and adept at problem-solving
  • Proven experience maintaining discretion and confidentiality
  • Excellent written and verbal communication and interpersonal skills
  • Knowledge of real estate, fashion & luxury preferred
  • Skills in Adobe Photoshop, Illustrator, and InDesign an asset
